Our admins have hands-on experience supporting financial advisors and are familiar with industry-specific workflows, various custodians, compliance policies, and the technology commonly used within advisory practices. We also intentionally match admins based on personality, communication style, technology, management preferences, and business complexity—not simply availability.

Just as importantly, we don’t simply make a match and disappear. We provide the onboarding, resources, and ongoing coaching that help advisors and admins build successful, long-term partnerships.

Your monthly retainer doesn’t simply purchase a bucket of hours—it reserves a portion of your admin’s professional capacity each month.

Because our admins support multiple advisory practices, they’re constantly balancing priorities across the practices they serve. As you reserve more of your admin’s monthly capacity, they naturally spend more time working in your business. This leads to greater familiarity with your clients and workflows, more proactive communication, faster turnaround on routine requests, and a more integrated partnership.

Advisors who retain fewer hours still receive excellent support, but the relationship will naturally be more task-based and less integrated than advisors who reserve a larger portion of their admin’s monthly capacity.

The Admin Collective has a 20-hour per month minimum.

Your monthly retainer reserves a portion of your admin’s professional capacity—not simply a bucket of hours. The more capacity you reserve, the more immersed your admin becomes in your business, allowing them to provide increasingly proactive and integrated support.

Most advisors retain between 20 and 40 hours per month, with 30 hours being a common starting point. The right retainer depends not only on the size and complexity of your practice, but also on the level of partnership you’re looking to build.
As your business grows and your delegation evolves, your monthly retainer can easily be adjusted to accommodate your changing needs.

We ask our admins to proactively monitor your monthly retainer and let you know if it appears you’re on track to exceed your reserved hours.

If you anticipate needing additional support, we recommend discussing it directly with your admin first. They’ll be able to let you know whether they have the capacity to provide additional hours that month. If they do, we’ll simply bill you for the additional time at your regular hourly rate.

If you consistently find yourself needing extra hours, that is a sign that your practice would benefit from increasing your monthly retainer. Reserving additional capacity often leads to a more proactive, integrated partnership and reduces the need for month-to-month adjustments.

While your admin can absolutely help move work off your plate, they likely won’t have enough capacity to become deeply integrated into your practice or proactively manage a large number of ongoing responsibilities.

Once you’ve selected your admin, we’ll either complete their onboarding for you or provide instructions on how to do so, depending on your custodian.

From there, we recommend following The Admin Collective Method™, our structured 90-day onboarding framework designed to help advisors and admins build successful long-term partnerships.

Throughout the first 90 days, we encourage advisors and admins to work through four phases that focus on establishing clear expectations, effective communication, healthy delegation, and strong working rhythms. While every partnership is unique, The Admin Collective Method™ provides practical tools, best practices, and coaching developed from years of supporting financial advisors and experienced administrative professionals.

Although participation in the Method is entirely optional, we’ve found that advisors who intentionally invest in the first 90 days build stronger, more productive partnerships over the long term.

The timeline primarily depends on your custodian’s onboarding and access approval process.

While every firm is different, we typically estimate 2–3 weeks from the time you’ve selected your admin until they have access to your book of business and are ready to begin supporting your practice. We’ll keep you informed throughout the process and let you know if we anticipate any delays.

Our admins prioritize work based on urgency and importance. While truly urgent matters receive immediate attention whenever possible, routine requests are generally acknowledged within one to two business days, depending on workload, complexity, and existing priorities.

Because our admins support multiple advisory practices under a monthly retainer, we recommend viewing your admin as a fractional member of your team, rather than someone who is continuously available throughout the day. They are constantly balancing priorities across the practices they support, so response and turnaround times will naturally vary based on urgency.

If a request is truly time-sensitive—such as a same-day money movement or an urgent client issue—we recommend calling your admin to bring it to their attention. While we can’t guarantee same-day completion, direct communication helps ensure urgent requests are prioritized whenever possible.

As your monthly retainer increases, you’re reserving a larger portion of your admin’s professional capacity. This naturally allows them to spend more time immersed in your practice, often resulting in greater familiarity, increased availability, and more proactive support over time.

The answer depends on the service tier you’ve selected.

Our admins can assist with everything from scheduling, inbox management, CRM updates, and routine client communication to account processing, meeting preparation, financial planning support, marketing, and complex back-office operations. Higher service tiers include additional responsibilities such as multi-custodian support, financial planning software, insurance and annuity processing, marketing assistance, and support for larger, multi-advisor practices.

Our admins provide administrative and operational support—they do not act as licensed financial advisors.

Tasks that require an advisor’s professional judgment, licensing, or regulatory responsibility remain the advisor’s responsibility. We also do not provide full-scale receptionist services or in-office support. Certain compliance-restricted tasks may also be prohibited depending on your broker-dealer or RIA policies.

We believe that technical skills are only one part of a successful match.

Every admin in The Admin Collective has already been vetted for industry experience and technical proficiency. From there, our focus shifts to finding the best overall fit.

During our discovery process, we take into consideration factors such as:

We encourage advisors to address concerns directly with their admin whenever possible. In many cases, a simple conversation and clearer expectations are all that’s needed to get the partnership back on track.

At The Admin Collective, we believe in a “Repair Before Replace” philosophy. Over the years, we’ve found that many partnership challenges stem from communication, expectations, or working styles rather than capability. By identifying the root cause and facilitating productive conversations, we’re often able to strengthen the partnership rather than start over.
